Privacy Policy

This Privacy Policy explains how Ben Thorne trading as Wee Job (“Wee Job”, “we”, “us”, “our”) collects, uses, and protects personal data when you use our service at weejob.co.uk. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We are registered with the Information Commissioner’s Office (ICO). Registration number: [ICO REGISTRATION NUMBER].

1. Who this policy covers

Wee Job is used by two groups of people, and we handle their data differently:

  • Trades — tradespeople who sign up for a Wee Job account to manage their bookings. We are the data controller for your account data.
  • Customers— people who book appointments through a trade’s Wee Job booking page. Wee Job processes your booking data on behalf of the trade, who is the data controller for that information. If you have questions about how a specific trade handles your data, contact them directly.

2. Data we collect about trades

When you create a Wee Job account, we collect:

  • Email address (used for login and account communications)
  • Business name, trade type, and public booking page handle
  • Optional: phone number, postcode, bio, and logo
  • Subscription status and billing history (payment details are held by Stripe, not us)
  • Working hours and time-off settings you configure

Why we process it: To provide and administer your account (contract performance), to send you service communications such as booking notifications and account alerts (legitimate interests), and where required by law.

How long we keep it: For the lifetime of your account, plus up to 30 days after closure to allow data export. Financial records are kept for 7 years to comply with HMRC requirements.

3. Data we collect about customers

When someone books an appointment through a trade’s page, we collect:

  • Full name
  • Email address
  • Phone number
  • Home or job address (optional, provided by the customer)
  • Notes for the tradesperson (optional, provided by the customer)
  • Booking details (service, date, time)

Why we process it: To deliver the booking — sending confirmation and reminder emails to the customer, and providing the trade with the details they need to do the job (contract performance / legitimate interests of the trade).

What we do not do: We do not use customer data for our own marketing. We do not sell or share it with any third party for commercial purposes. We do not use it for profiling or automated decision-making.

How long we keep it: Booking records are retained for 12 months after the appointment date, then deleted. The trade can delete individual bookings at any time from their dashboard.

4. Cookies and tracking

Wee Job uses only essential cookies required for the service to function (authentication session cookies). We do not use advertising or analytics tracking cookies. No third-party tracking scripts are loaded on your booking page.

5. Who we share data with

We use a small number of trusted third-party services to operate Wee Job. Each acts as a data processor under a contractual agreement with us:

  • Supabase (database and authentication) — hosted in the EU. Data is processed in accordance with UK GDPR using Standard Contractual Clauses.
  • Resend (transactional email) — US-based. Used to send booking confirmations and reminders. Data transferred under Standard Contractual Clauses.
  • Stripe (payment processing) — EU/US. Handles subscription billing. Card data is processed by Stripe and never stored by us.
  • Vercel (hosting) — US-based. Hosts the Wee Job application. Data transferred under Standard Contractual Clauses.

We do not share your data with anyone else unless required to do so by law (for example, in response to a court order).

6. International transfers

Some of our processors are based outside the UK. Where data is transferred to the US or other countries without an adequacy decision, we rely on Standard Contractual Clauses (SCCs) approved by the ICO to ensure an adequate level of protection.

7. Your rights

Under UK GDPR you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate data.
  • Erasure — ask us to delete your data where we have no lawful reason to keep it.
  • Restriction — ask us to pause processing while a dispute is resolved.
  • Portability — receive your data in a portable format.
  • Object — object to processing based on legitimate interests.

To exercise any of these rights, email legal@weejob.co.uk. We will respond within one month. We may need to verify your identity before processing the request.

Note for customers: Wee Job processes your booking data on behalf of the trade. For data access or deletion requests, you can contact us and we will coordinate with the relevant trade, or you can contact the trade directly.

8. Security

We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls, and using reputable infrastructure providers. No system is completely secure; if you believe your data has been compromised, contact us immediately.

9. Children

Wee Job is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will notify trade account holders by email at least 14 days before material changes take effect. The current version is always available at weejob.co.uk/privacy.

11. How to complain

If you are unhappy with how we have handled your data, please contact us first at legal@weejob.co.uk and we will try to resolve it.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
